Why archiving is not optional
The German principles for the proper keeping and retention of books, records and documents in electronic form (GoBD) apply to every company that sends or receives business email. Commercially relevant messages must be retained for years, stored immutably and be findable during an audit.
A full mailbox or an exported PST folder does not meet that requirement. Compliant archiving stores every message additionally and outside the mailbox – with checksums, journaling and traceable access.

Users access their own archives via Outlook, web or mobile – without access to other mailboxes. Administrators retain control over retention periods and deletion policies.
